    Hotel Accommodation

    *only applicable for fully sponsored agencies located outside of London.

    You will be provided with a hotel room for three nights from Monday afternoon, September 14, 2026 until Thursday morning, September 17, 2026 at one of our partner hotels. 

    Your presence will be expected throughout the duration of the event.

    A formal hotel booking confirmation will be sent to you approximately four weeks prior to the event. ICEF will sponsor one room per agency, unless otherwise stated.

    Accommodation terms & conditions: 

    • Event cancellation: If for some reason you will be unable to attend, please let us know by August 3 2026 or you will be subject to a cancellation fee of 395 EUR. Cancellations from September 7 2026 will be subject to a cancellation fee of 850 EUR. 
    • Event no-show: If you do not arrive for your reservation or fail to attend without contacting us, you will be charged for your accommodations for the entire period of the event, plus the cancellation fee.
    • Additional person(s): If you require an extra person to be accommodated in your room, kindly inform us without delay. An additional charge of 150 EUR per person, per room will apply and must be organised in advance of the event.
    • Early Departure: Should you need to leave the event earlier than Wednesday, 16 September at 18:30, please inform us of this well in advance. In accordance with the Agent Terms & Conditions, please note that clients leaving the event early without prior notification to ICEF will be subject to an Early Departure Fee equivalent to one night’s accommodation at the hotel’s prevailing rate.
    • Hotel extra charges: All extra costs (i.e.breakfast, mini-bar, room service, telephone, early/late check-in/out) will not be sponsored by ICEF and are at your own expense. The hotel will therefore ask you for your credit card details upon check-in.
    • Check-in & Check-out: Earliest possible check-in time is 15:00 and latest check-out time is 12:00 noon.

    Visa Requirements

    The information below is advisory, we recommend you check your own visa requirements with your local embassy. 

    If you need a , you must apply online before you travel to the UK and attend an appointment at a visa application centre. The earliest you can apply is 3 months before you travel.

    If you do not need a visa, you will usually have to apply for , which allows you to visit the UK for up to 6 months. An ETA costs £20.

    Arrival in London

    London Heathrow Airport (LHR)
    London Heathrow is situated approximately 26km from Park Plaza Victoria London and is around a 40–50 minute drive, depending on traffic.
    Public transport: From Heathrow Airport, take the London Underground, eastbound on the Piccadilly line. Change at Hammersmith Station and take the District line to London Victoria Station. Then walk south on Wilton Road for 100 metres. Park Plaza Victoria London will be on your left.

    London Gatwick Airport (LGW)
    London Gatwick is situated approximately 60km from the hotel and is around a 60–90 minute drive, depending on traffic.
    Public transport: The Gatwick Express provides a direct service from Gatwick Airport to Victoria Station, with frequent departures throughout the day. At London Victoria, take the exit by Platform 2. Turn right and walk 100 metres. Park Plaza Victoria London will be on your left.

    London City Airport (LCY)
    London City Airport is approximately 16km from the hotel and is typically a 40–50 minute drive.
    Public transport: The Docklands Light Railway (DLR) connects London City Airport to the wider London transport network. Travel into central London and connect to Underground services for Victoria Station. From Victoria Station, the hotel is a short walk away.

    London Stansted Airport (STN)
    London Stansted is approximately 65km from the hotel and is around a 60–90 minute drive, depending on traffic.
    Public transport: From London Stansted Airport, take the Stansted Express train to Liverpool Street Station. Change to London Underground and take the Circle line to London Victoria Station. Walk south on Wilton Road for 100 metres. Park Plaza Victoria London will be on your left.

    London Underground and National Rail

    The nearest Underground and National Rail station to Park Plaza Victoria London is Victoria Station, which is approximately a 3–5 minute walk from the hotel. Victoria Station is served by the Victoria, Circle and District lines, as well as National Rail and Gatwick Express services.

    Taxis are readily available from all London airports. Ride-hailing services such as Uber are also widely available. Journey times and fares will vary depending on traffic and demand.

    To make the most of your participation, meetings can be scheduled once the event has started, up to one hour before the requested meeting time.

    Getting the most out of an ICEF event
    On-site check-in

    You will be able to collect your badge and welcome bag from the ICEF registration desk located in the Conference Level 1 Lobby from 09:30 to 19:30 on Monday, September 14. 

    As this is an invitation-only event, anyone not wearing a badge may not be admitted into the event area. Please also understand that for the same reason, we cannot allow non-registered family, friends or staff to enter the meeting hall.

    The dress code for the reception is smart casual. Please note that participants not wearing their event badges will not be admitted. Please register your attendance by clicking the green “Yes, I will attend” button on your MySchedule page.

    If you are attending as an accompanying person without a meeting schedule your attendance at the reception will be automatically registered.

    • Plug type: The power plugs and sockets are of type G. Visitors may need to bring their own adaptors.
    • Climate: London has a temperate maritime climate, with mild winters and cool summers. Average temperatures in January are around 8°C during the day and 3°C at night.
